Job Description for Top Administrative Officer

Top administrative officers must act as liaisons between management and other staff members. They may also represent their organization by dealing with government agencies, the public, clients, and vendors. They are responsible for administrative matters in their organization.

Top administrative officers must have excellent computer skills and must be proficient with Microsoft Office. They must be able to work in a team environment. They must have interpersonal skills. They must have excellent oral and written communication skills. They are required to write emails and various office correspondence. They make various phone calls on behalf of their organization. Candidates must have significant work experience working with top level executives. If they work for public companies, they must make sure that necessary documents are filed or submitted in a timely manner. They may assist with auditing processes. They may have to be involved in establishing their organization's budget or new business development. They must have leadership skills. They supervise other administrative staff. They must make sure that the organization’s policies and procedures are being strictly followed by all employees. They must keep themselves up to date with changes in governmental rules and regulations that apply to their business operations. They must be able to build strong teamwork and work with diverse people. They must be able to generate effective reports and give presentations to upper management. They may be required to attend workshops or conferences.

Most employers require that these officers have at least a bachelor’s degree in business management or a related field, as well as years of relevant experience. Many employers require a master’s degree.

  • Handle contract procurement and negotiation.
  • Plan, administer and control budgets for contracts, equipment and supplies; review operational reports.
  • Oversee facilities planning, maintenance and custodial operations internal or external service contracts.
  • Oversee and direct administrative support services to align with corporate objectives; facilities, security, mail distribution, record management, and other office support services.
  • Develop infrastructure, analyze current processes, recommend and implement procedural or policy changes to improve operations.
