Job Description for Executive Assistant

Executive Assistants provide administrative support to upper-level Executives within a company. A typical workday is from 9AM-5PM, Monday through Friday, though hours may vary according to the needs of a company. Time is spent in a fast-paced, indoor office setting, carrying out various important administrative functions. Tasks may include arranging calls and meetings, making travel plans, preparing reports and other paperwork, file management, mail sorting, answering requests for information and general correspondence.
During meetings, Executive Assistants often record the minutes of the meeting and inform employees of changes to the business or special events. They also frequently greet and attend to visitors, playing a role in keeping the office running smoothly.
Executive Assistants report to an Office Manager or directly to one or more high-level Executives. They frequently work with Directors, Managers and business clients. To work as an Executive Assistant, it is usually necessary to have at least three years prior experience in administrative support. Excellent organizational and communication skills are a must, as well as a good understanding of office procedures and in-depth knowledge of relevant computer software. Some companies even require certification in popular software suites or a Bachelors’ Degree for employment at this level.
Executive Assistant Tasks
  • Conduct research, prepare correspondence, expense and statistical reporting.
  • Schedule travel, appointments and meetings.
  • Supervise clerical staff.
  • Screen phone calls, emails, mail and visitors; route and resolve information requests.
  • Coordinates space and office organization, and special projects.
