An administrative support assistant (or ASA) performs the critical support and administrative functions needed to ensure an office functions efficiently.
Time management is an essential part of the administrative support assistant’s work. They create and modify schedules for office employes and work with both clients and office members to schedule meetings. Often, the assistant calls or emails clients to remind them of scheduled appointments and provides friendly reminders on relevant meetings or deadlines to office members.
The administrative support assistant also creates and fills out general forms that may need to be submitted to an external office, as well as forms that must be submitted to an internal database.For internal databases, the administrative support assistant must enter data and ensure that the database has been appropriately updated. The administrative support assistant also makes sure to attend to any travel, lodging, and communication needs for staff members. Besides secretarial duties, the administrative support assistant may also monitor and record office work flow, generating a report for management. In this capacity, the administrative support assistant may also make recommendations for how to improve the operations of the office.
Administrative support assistant positions generally require an associate's degree, and some employers may prefer a bachelor's degree. Excellent written and verbal communication skills are a must, as well as exceptional time management skills.
