A records management assistant works in any business or organization that has documents that need to organized. The assistant may work under a records manager. For some organizations, the records management assistant may have to make sure that records for students, employees, or members of an organization are complete. Much of the work in this job is done independently, though in most positions, interaction with record owners is essential. Therefore, strong communication skills, both in person and over the telephone, are needed to adequately carry out duties. The job may also involve data entry and updating records as necessary. Some of the work may involve organizing records manually through the use of filing cabinets, while other duties will involve using a computer to manage records. The degree of computer skills necessary will vary depending according to position. Proficiency in Microsoft Office is usually a basic need in all records management positions. The assistant should also suggest innovative ways in order to better manage the records keeping system, so being a good problem solver will come in handy. Other clerical duties besides record management are sometimes assigned.
The job generally takes place in an office environment, and both part-time and full-time positions can be found. Some positions will require college schooling, while others will require a high school diploma as a minimum.
