The main objective of an administrative services manager is to coordinate all office personnel and services so office operations run efficiently. Their day-to-day responsibilities include planning and managing the administrative aspects of the office, overseeing administrative staff, and performing any other tasks necessary to ensure the office runs smoothly. Administrative services managers are also responsible for mail distribution, office machine maintenance, record-keeping, conducting office supply inventory and ordering, and interview scheduling. Administrative services managers are employed in many different industries, including medical, manufacturing, construction, financial, and legal industries, among others. The specific tasks performed by administrative services managers depends on the industry and the size of their organization. Generally, this position is full time and requires work directly with employees at nearly every level of the organization including engineers, project managers, sales representatives, production workers, accounting and finance personnel, and executive management, as well as purchasing, shipping, receiving, and administrative workers. Administrative services managers also communicate frequently with people outside of the organization via email and telephone. An administrative services manager typically reports to an upper-level manager or executive.
This position generally requires a minimum of a high school diploma or equivalent, although a bachelor’s degree in business is often strongly preferred. Previous experience managing an office environment is generally preferred or required as well. Excellent organizational, interpersonal, communications, and multitasking skills are needed as well. They must be able to sit and use a computer and telephone for long periods of time, and they may be required to move around the office for extended periods as well.
