Job Description for Office Manager, Medical Office

A medical office manager works in a highly specialized area of office administration within the healthcare field. A person employed in this position not only must have the knowledge and skills of a regular office manager, but must also be knowledgeable about medical procedures, medical planning, and complex billing and insurance procedures.

Because of the high degree of needed specialized skills, there are vocational school programs and associate’s degrees offered in medical office management. Upon graduation, a person interested in this occupation will normally work a variety of assistant and junior-level jobs at hospitals and clinics, acquiring the necessary specialized experience that most medical practices and doctors require.

The medical office manager must be extremely organized and computer-literate. They must be well-versed in a medical office’s billing and patient records software. They must have excellent supervisory and delegation skills, as they likely responsible for a staff of office and medical assistants,. The office manager needs a strong working knowledge of common medical facilities practices and is expected to carry them out in an efficient manner.

To work in this career, it is necessary to have excellent multitasking skills to help balance the needs of patients and the medical office. The medical office manager also must participate in continuing education on changing insurance and healthcare laws to help ensure that their office is up-to-date with all legal needs and requirements. They must possess excellent written and verbal communication skills as well.

  • Administer fiscal operations; including accounting, planning budgets and coordinating financial reporting.
  • Ensure compliance and maintain awareness of payer and reimbursement policies, coding guidelines and health insurance changes.
  • Oversee day-to-day operational and staffing activities.
  • Maintain organizational policies and procedures for the office.
