Onboarding Manager

Your onboarding manager is your primary point of contact during your initial onboarding and implementation. They will work with you to kick off your relationship with Payscale and stay with you through your technical implementation, training, and initial adoption of your product(s). You and the onboarding manager will determine a joint success plan and deployment plan that fits your needs and gets you and your team up and running quickly.

Implementation Manager

Your implementation manager is your technical engineer who will help you through the process of loading your data into Payscale, standing up the product(s) you purchased, and will work through important configuration to get you up and running. With JDM, they will work with you on building template(s), walk through the system functionality, and fine tuning the tool to your exact needs.

Education

Your product training manager is your expert trainer. They will provide comprehensive training on your product and will include training on the entire JDM tool; creating descriptions, updating descriptions, collaboration, routing, and various JDM settings. In addition to the initial training, your product training manager will introduce you to a wealth of resources in Payscale Connect and Payscale Academy.

Get Started with JDM!

Welcome to JDM, part of your Payfactors product from Payscale.

Your onboarding manager will work with you to schedule your kickoff call.

Here are some tips to the right to help you prepare for the kickoff call.

You can also ensure that all necessary users have access to Payfactors in advance of your kickoff call.

Be ready to communicate your current job description process, practices, and goals to your Payscale team.
Identify your key decision makers and stakeholders, and make sure they are available for this first call.
Look for and respond to the welcome email right away to get your kickoff call scheduled.
Register for the Payfactors JDM learning path in Payscale Academy. It’s recommended to begin this learning path early and progress through it before the end of onboarding.

Attend your Kickoff Call

In this 1-hour introduction call you will:

  • Meet your onboarding manager
  • Review the phases of onboarding
  • Discuss your company’s job description strategy and goals
  • Have a brief product tour
  • Discuss next steps
After your kickoff call, your onboarding manager will follow up with a joint success and deployment plan for your review and acknowledgement.

Let’s Begin your Technical Set Up!

Attend your data requirements meeting where you will:

  • Meet your implementation manager
  • Review the major implementation milestones throughout this phase of onboarding
  • Discuss your job description template and begin to build and edit
  • Review how to upload your zip file of job descriptions within Payfactors

Prepare & Share your Data with us

Gathering your current job descriptions is a vital first step before they can be submitted to Payscale for loading into the Job Description module.

Once they have been submitted, we will start transforming your current job descriptions into a new format that can then be loaded into JDM.

Gather your job descriptions in preparation of submitting them for processing.
Be prepared to discuss the requirements of your job description templates.

Job Description Template Creation

We’ll work with you to create job description templates and establish configurations that match your organization’s exact needs.

After reviewing how to create and edit a job description, we will create initial setups for you to start testing out in the system.

Your first round of testing is all about getting into the product and beginning to create, edit, and publish content.

Collaboration & Routing Workflows

Now that your job description templates are created, you’ll learn about working with collaboration features, such as starting and ending a collaboration session, collaboration comments, and history.

You’ll also start reviewing approval workflows for both single and bulk jobs, including editing a job description within a workflow, workflow management, and routing history.

You will also want to identify the applicable team members to include in the next phase of testing related to collaboration and routing features. Try to think about the current job description process you use and how that will change with JDM.

To help manage job description access and begin collaborating, complete the ‘Collaboration Sessions and Routing for Approval’ lessons in the JDM learning path.
Fine-tune your job description template and request changes as necessary.

Settings & Public Token URL

Now that you’ve had some experience working within JDM, you’ll learn about additional settings within the product that can be set for your organization.

Your Implementation Manager will also cover the Public Token URL and the process for sharing a published job description.

Once you have reviewed the Public Token URL, it’s time to finish testing. Try playing out the scenario of requesting or editing a job description with multiple managers and leaders in your organization.

Data Load & Review

Prior to importing your job descriptions, your Implementation Manager will work with you to discuss the following:

  • Import discussion
  • sFTP configuration
  • SSO enforcement
  • Custom library content and branding

Once your job descriptions are loaded into JDM, we highly recommend logging into your Payfactors site to quality assure your data and ensure alignment with your expectations.

Use Payfactors in Your Day-to-Day Work!

The final phase of your onboarding journey is the adoption of your new tool. This will include being confident in the functionality and applying JDM in your daily practices.

To fully adopt the JDM tool, you will continually meet these adoption milestones:

  • Update existing and building new job descriptions
  • Routing and collaborating for internal edits
  • Market pricing with accurate, in-system job descriptions
  • Share public URL on an as needed basis (read only JD repository)

Onboarding Achieved

Congratulations! Your onboarding to JDM is complete. During this final phase, we’ll make sure you’re set up for success post onboarding.

As you transition out of onboarding, we want to ensure you that our dedication to providing top-tier customer service is of the utmost importance.

At this point you’ll start working with your Customer Success Manager and our Support Team for ongoing, continued support.
