Payfactors Advanced
Let’s meet your Payscale Onboarding Team.
Your onboarding manager is your primary point of contact during your initial onboarding and implementation. They will work with you to kick off your relationship with Payscale and stay with you through your technical implementation, training, and initial adoption of your product(s). You and the onboarding manager will determine a joint success plan and deployment plan that fits your needs and gets you and your team up and running quickly.
Your implementation manager is your technical engineer who will help you through the process of loading your data into Payscale, standing up the product(s) you purchased, and will work through important configurations to get you up and running. Depending on the product(s) you have purchased, they will also work with you on submitting survey data and any existing matches to those surveys.
Your product training manager is your expert trainer. They provide comprehensive training on your product(s), and will include training on benchmarking, structure review and modeling, third-party survey management, reporting, best practices, and more depending on the product(s) you purchased. In addition to initial training, your product training manager will introduce you to a wealth of resources in Payscale Connect and Payscale Academy.

Prepare & Share your Data with us
Data collection consists of three parts:
- Organizational Data (Jobs, Employees, Salary Structures)
- Third-Party Surveys
- Pre-Existing matches to Third-Party Surveys
Let’s begin by discussing organizational data in Payfactors.
Please register for the ‘Understanding Organizational Data’ course within the Implementation Learning Path and watch the first video to gain an understanding of the organization data structure within Payfactors.
Payscale provides two paths for automating your organizational data loads in Payfactors.
- Establish an API with specific HRIS vendors
- Establish an sFTP feed between your HRIS system and the Payfactors hosted sFTP site
Collect and Upload your Organizational Data
To begin collecting your organizational data, review the resources outlined below and then head over to the onboarding resources page to download the applicable files.
The Organizational Data Template is used to capture your internal organizational information as it relates to jobs, pay markets, employees, and salary structures.
The Data Template Field Overview document provides a description of each field within the organizational data template and formatting requirements.
Ready to submit your organizational data? Follow these instructions and submit via the Data Uploads Tile in Payfactors with a file type of ‘Organizational Data’.
Submit Third-Party Surveys
You’ll send us your raw third-party survey data in the Excel file provided by your vendor. We’ll take it from there.
Please review these resources to guide you in the process of gathering and uploading your survey data.
The first step in submitting your survey data is to complete a survey reconciliation form that provides basic information about the surveys being loaded.
Review the information to the right to determine which form is appropriate for you and then head over to the Onboarding Resources page to download the applicable file.
Submit Third-Party Survey Matches
Do you have existing matches to third-party surveys? If so, you’ll provide us your survey-to-internal-job match data through one of our standard templates. Your Implementation Manager will work with you to determine which template best aligns with your market pricing philosophy.
Pre-requisites: Your internal job codes, pay markets, and relevant survey data is loaded into Payfactors prior to submitting your pricing or match template.
Review the information to the right to determine which template is appropriate for you and then head over to the Onboarding Resources page to download the applicable file(s).
Data Load & Review
Our Data Ops Team will load your submitted raw third-party survey data and work with you to resolve any data issues.
Your Implementation Manager will load your submitted organizational data and third-party survey matches and work with you to resolve any data issues.
As your submitted data is loaded into Payfactors we highly recommend logging into your Payfactors site to quality assure your data and ensure alignment with your expectations.
Once your company jobs and pay markets are populated in Payfactors, register for the ‘Market Pricing Company Jobs’ course in your Implementation Learning Path. Here you will take a deeper look at how to market price your company jobs using Pricing Projects.
